1. Scope
This Privacy Policy explains how SideBet Golf, LLC ("SideBet Golf," "we," "us," or "our") collects, uses, discloses, stores, and protects information through the SideBet Golf websites, applications, emails, and related services (collectively, the "Service"). It applies to organizers, tournament helpers, players, spectators, public-site visitors, support contacts, and prospective customers.
Organizers also decide what participant information is entered into their player pools and events, who receives administrative access, and whether spectator links are public or restricted. Organizers must use that information lawfully and consistently with our Terms of Use and Acceptable Use Policy.
2. Information We Collect
Account and contact information. We may collect your name, email address, telephone number, password hash, email-verification status, account type, customer or organization name, roles, permissions, and invite or access relationships.
Player profile information. You or an organizer may provide a profile photograph, GHIN number, handicap index, Stableford quota or average, and related golf preferences or profile details. A tournament may use an event-specific override instead of a profile value.
Tournament, shootout, and scoring information. We process event names and dates, facilities and courses, rosters, teams, groups, tee assignments, starting holes and times, handicaps, quotas, scores, scorecard approvals, drive commitments, CTP results and distances, standings, tiebreakers, rules, emails, helpers, spectator settings, and other event-administration records.
Side-game and settlement records. The Service may store participation choices, stakes or units, skins, CTPs, Nassau and other side-game configurations, auction or Calcutta records, payout allocations, payment status, payment method notes, and calculated amounts owed or won. These are informational records entered by users. SideBet Golf does not receive or settle user wager funds.
Purchases and subscriptions. When paid access is available, we may receive your selected plan, billing contact, purchase amount, currency, invoice, transaction or subscription identifier, payment status, renewal or cancellation status, and limited billing history. A payment processor handles payment credentials such as card or bank-account details; SideBet Golf does not intentionally store complete payment-card or bank-account numbers.
Support and communications. We collect messages sent through support, beta-access, account, and tournament-email features. A support request may include a subject, description, page or tournament context, browser details, and an optional screenshot. Event emails may include attachments selected by an authorized organizer.
Technical and security information. We may collect session identifiers, IP address, browser and device type, user agent, request and error details, login and email-verification timestamps, security events, audit records, and actions taken within the Service. We do not use this information for targeted advertising.
3. How We Receive Information
We receive information directly from you, from an organizer or authorized helper who adds you to a player pool or event, from other participants who enter scores or side-game results, automatically from your browser or device, from payment and email providers, and from course-data or other service providers. If another person supplied your information, you may contact the organizer or SideBet Golf to request correction.
4. How We Use Information
- Create, verify, secure, and administer accounts.
- Build player pools, tournaments, shootouts, teams, groups, tee sheets, scorecards, standings, results, and participant exports.
- Calculate handicaps, quotas, tiebreakers, side-game outcomes, and informational payout or settlement summaries.
- Send account verification, password reset, event, support, service, billing, and security communications.
- Process software purchases and subscriptions, maintain invoices, and apply account entitlements.
- Provide offline scoring safeguards and synchronize queued scores when connectivity returns.
- Detect errors, prevent abuse, investigate security incidents, enforce our agreements, and maintain audit records.
- Improve usability, reliability, features, and customer support using aggregated or appropriately limited information.
- Comply with law, respond to lawful requests, establish or defend legal claims, and protect users and the Service.
5. When Information Is Shared
Within an event or customer account. Organizers, authorized helpers, teammates, group members, and other participants may see information needed for the event, including names, profile photographs, tee assignments, handicaps or quotas, scores, standings, side-game participation, and results. Access depends on each person's role and the organizer's settings.
Spectator and public views. An organizer may enable a public or passcode-restricted spectator link. That view may display event details, participant or team names, scorecards, standings, skins, CTPs, side-game outcomes, and other selected results. Some shootout views may include winnings. A person who receives a link or passcode may share it unless the organizer restricts sharing, so organizers should choose spectator settings carefully.
Service providers. We use providers to host, back up, secure, email, support, and operate the Service. For example, Microsoft 365 and Microsoft Graph may process recipient addresses, message content, and attachments for transactional and event email. PayPal or another disclosed payment processor may process software purchases and subscriptions. Content-delivery and browser-library providers may receive ordinary network information such as IP address and user agent when their resources load.
User-directed services. When you open a maps, telephone, rules, payment, or other third-party link, information is sent to that provider under its own privacy policy. We do not intentionally collect precise device location; a maps application may request location after you leave or interact with the Service.
Legal, safety, and business purposes. We may disclose information when reasonably necessary to comply with law or valid legal process, protect rights or safety, investigate fraud or misuse, obtain professional advice, or complete a merger, financing, reorganization, sale, or transfer involving the Service. Any successor remains subject to applicable privacy obligations.
We do not sell personal information. We do not share personal information for cross-context behavioral advertising, and we do not operate an advertising network.
6. Cookies And Device Storage
SideBet Golf uses essential session cookies to keep you signed in, maintain security, remember short-lived form state, and deliver requested features. We do not currently use advertising cookies.
For offline scoring, the Service may use browser Cache Storage, IndexedDB, local storage, and session storage. Cached scoring pages can include protected event and player information. Cached scoring pages are designed to expire after approximately 24 hours and are cleared during normal sign-in and sign-out cleanup. Unsynchronized score submissions may remain on that device until they successfully synchronize or the browser's site data is cleared. Clearing browser storage before synchronization can permanently remove those pending scores.
7. Data Retention
We retain information for as long as reasonably necessary to provide the Service, preserve organizer-selected event history, maintain account and billing records, resolve disputes, enforce agreements, protect security, and meet legal obligations. Retention varies by record type and context.
Account-verification and password-reset records are limited to their security purpose. Temporary support uploads are removed from the application server after the related message is sent, although the email and attachment may remain in our support mailbox under its retention settings. Security, audit, transaction, and billing records may be retained longer when needed for fraud prevention, accounting, tax, dispute, or legal purposes.
Deletion from active systems may not immediately remove a copy from rotating backups. Backup copies are isolated from ordinary use and are removed as backups expire. If a backup is restored, we will take reasonable steps to reapply completed deletion requests.
8. Your Choices And Privacy Rights
You may review and update much of your account and player-profile information from your profile. Organizers can correct event-specific information and scores. Depending on where you live, you may also have rights to request access, correction, deletion, restriction, portability, withdrawal of consent, or an appeal of a denied privacy request.
To exercise a privacy right, email support@sidebetgolf.app. We may need to verify your identity and authority before acting. We will not discriminate against you for exercising a privacy right. If an organizer controls the relevant event record, we may coordinate with that organizer while still addressing obligations that apply directly to SideBet Golf.
To request deletion of an account, use the Account Deletion Request page. We generally complete verified requests within 30 days and confirm completion by email. We will delete or de-identify personal information associated with the account unless retention is reasonably necessary or legally required for security, fraud prevention, billing, tax, dispute, or other lawful purposes. Where information must be retained, we limit it to that purpose.
9. Email Choices
Account verification, password reset, security, billing, event, and service emails are transactional and may be necessary to provide the Service. Organizers control tournament announcements sent to their participants. You may contact the organizer about event communications or contact SideBet Golf about account-level communications. If we later send promotional marketing email, it will include an appropriate unsubscribe method.
10. Security
We use administrative, technical, and organizational safeguards designed for the nature of the Service, including HTTPS transport, role-based access, password hashing, session controls, form protections, audit logging, restricted administrative tools, and backups. No storage or transmission method is completely secure, and we cannot guarantee that unauthorized access, device loss, or a third-party failure will never occur. Protect your password, device, invite codes, spectator links, exports, and downloaded files, and notify us promptly of suspected misuse.
11. Children
The Service is intended for people age 18 and older. We do not knowingly permit children to create accounts or use monetary side-game features. If you believe a person under 18 provided personal information, contact support@sidebetgolf.app so we can investigate and take appropriate action.
12. Processing In The United States
SideBet Golf is operated from the United States. Information may be processed in the United States and in other locations where our service providers operate. Those locations may have privacy laws different from the laws where you live. We use service providers and safeguards appropriate to the services being provided and applicable legal requirements.
13. Third-Party Services
Third-party websites, applications, payment services, maps, course-data sources, rules resources, and other links are governed by their own privacy policies. SideBet Golf does not control those services. Review their terms before providing information or enabling permissions.
14. Changes To This Policy
We may update this Privacy Policy as the Service, providers, or legal requirements change. The effective date and version identify the current policy. If a change materially affects how we use personal information, we may provide notice in the Service or by email and request consent where required.
